Privacy notice

This notice is maintained by Sirius Dream and explains how personal information is handled in Lumina, the work-integrated learning platform used by interns, mentors, host institutions and approved employers.

Who is responsible

Sirius Dream is the responsible party for the information held in Lumina. Questions, access requests and complaints can be sent to the Sirius Dream programme office through your institution's WIL coordinator.

What we collect

  • Identity and contact details supplied by your institution: name, email, cohort, qualification.
  • Attendance records: check-in and check-out times with the GPS coordinates captured at that moment.
  • Work records: tasks, submissions, team board activity, comments and mentor evaluations.
  • Time logs and leave requests, including any supporting document you upload.
  • Assessment results you enter: Big Five, DISC, MBTI and Enneagram.
  • Derived scores: skill delivery, reliability, role fit and the composite score.

Why we use it

To run the programme day to day, to evaluate and evidence your growth objectively, to report to your institution, and — where you have agreed — to present a scored profile to approved employers.

Location is captured only at the moment you press check in or check out, to verify remote attendance. Lumina does not track your location in the background.

Who can see what

  • You see everything recorded about you.
  • Your mentor sees your work, attendance, leave and scores.
  • Sirius Dream admins see the same, plus the audit trail behind each score.
  • Your institution receives cohort reports and exports covering attendance, deliverables and final scores.
  • Approved employers see only a shared profile: skills demonstrated, approved work, reliability and composite score. They never see raw assessment answers, identity numbers, leave documents or your contact details unless you share them.

Your choices

On first sign-in you record your choices about location capture, use of assessment results and employer sharing. You can change them at any time, and you can withdraw employer sharing from your profile page — this immediately revokes every live employer link to your profile.

Withdrawing consent for location capture or assessment use may limit parts of the programme, because attendance and fit cannot then be evidenced.

How long we keep it

Programme records are retained for the duration of your placement and for the period your institution requires for accreditation and reporting. Employer share links expire on the date set when they are issued and can be revoked at any time.

Security

Access is controlled by role, enforced at the database level, so each person only reaches the records their role allows. Uploaded documents are stored in private storage and are not publicly reachable.

Your rights

You may request access to your information, ask for corrections, object to processing, or lodge a complaint with the Information Regulator. Start by contacting the Sirius Dream programme office.
